The Office Manager is in an on-site position that supports and facilitates the day-to-day operations to enable the design studio to fulfill our vision and mission: We design homes that live with nature because we believe that connection with nature inspires the human spirit. Established in 1986, Whitten Architects is a small studio (with 14 team members) designing a wide range of residential architecture, and our work has been recognized by numerous awards and delighted clients.
The Office Manager will foster a welcoming and creative environment for studio members, clients, and guests, bring methodical organization to business operations, communicate effectively with clients, and approach all duties proactively and with curiosity. Specific job responsibilities include tracking projects and maintaining the project management software, drafting letters of agreement, maintaining the office calendar and scheduling, making arrangements for meetings and company events, taking meeting minutes, generating client invoices, maintaining accounts payable, making bank deposits, facilitating photo shoots, updating the website, assisting outside marketing consultants with social media, blogs posts, ad selections, etc., and performing some human resources functions such as placing recruitment ads,
onboarding new employees, and working with the bookkeeper to administer employee payroll and benefits.
Qualifications needed for this position include at least two years of prior experience as an office manager or administrative assistant (in a design or construction setting would be a plus), excellent communication and interpersonal relationship skills, professionalism, organizational skills and meticulous attention to detail, and work
experience with iWork Suite and Google Docs.
